Marblism Team vs Personal Mode: Choose Before You Invite

A 15-minute decision now can prevent private inbox work, shared marketing drafts, and employee context from ending up in the wrong workflow.

Short answer: Choose Team Mode when people need one shared AI employee, conversation, and knowledge base. Choose Personal Mode when each person needs a private AI employee with separate chats, memory, and settings.

For a service business, this is the difference between the whole office reviewing one weekly social calendar and each technician having a separate assistant for their own inbox. Neither mode is automatically better. The right choice follows the work.

Why this decision comes before the invitation

Marblism’s official collaboration guide says, it’s not possible to change collaboration mode after a user has been added to the workspace. That makes the invite screen a workflow decision, not just an account-setup step.

Before clicking invite, decide whether the teammate should see and contribute to the same AI conversation or work privately. If you cannot answer that in one sentence, pause the invite and map the task first.

Team Mode: one employee, shared context

In Team Mode, people work together in shared chats. Marblism says the AI employee’s settings, memory, and knowledge base are also shared, which helps everyone review the same work and keep instructions consistent.

Personal Mode: separate employee, private context

In Personal Mode, each teammate gets a separate instance of the AI employee. Marblism documents that chats, memory, and configuration stay private.

How to make the choice step by step

  1. Name one job, not one person. Write the exact output, such as “approve next week’s five social posts.” This keeps the decision tied to work.
  2. List who must see the chat and memory. If everyone needs the same context, Team is the stronger fit. If the context is private or person-specific, choose Personal.
  3. Decide who reviews the output. Shared review points toward Team; individual ownership points toward Personal.
  4. Record the reason. Put one sentence in your operating notes so the next invite follows the same rule.
  5. Only then invite the teammate. Marblism’s help center says to open Teams, select Invite team member, choose employee access, and choose a dedicated or shared employee.
Honest limitation: Marblism’s current documentation says collaboration mode cannot be changed after that user is added. Workspace members also cannot manage workspace settings, members, or billing. Confirm the choice and access level before sending the invitation.
The Marblism Challenge

Map one teammate’s workflow in 15 minutes

Action: Pick one real teammate and one AI employee. Write the job, decide who should see its chat and memory, then record Team or Personal plus one sentence explaining why. Do not send the invite until the map is complete.

Win conditions: You can name the job, the visibility rule, and the chosen mode without using “maybe.”

Score: 0 / 3 — Map the job first.

Score 3/3, then try the next Marblism Challenge: clean one stale fact from your Brain and workspace setup.

What members can and cannot control

Marblism separates Workspace Owner and Workspace Member permissions. The owner manages workspace information, members, collaboration choices, and billing. Members can work with assigned or shared AI employees and create or edit tasks, but they cannot change workspace settings or billing.

Why this matters: access should match responsibility. A teammate can help produce work without needing control of the whole account.
