Why this matters: the routing rule decides whether you are interrupted. The handoff mode decides how that interruption happens. Treat them as separate choices.

Set up Marblism Rachel call transfer step by step

  1. Pick one high-value trigger. Use a situation with an obvious answer, such as a new customer reporting your defined urgent service condition during business hours.
  2. Pick one no-transfer case. Choose a routine interruption, such as a vendor sales call, that Rachel should summarize instead.
  3. Open Rachel's settings. Enable Call Transfer, enter the destination number and choose Summarize in Private or Transfer Immediately.
  4. Add two rules to General Instructions. Include the caller type, reason and time window. Tell Rachel what to do when the transfer condition is not met.
  5. Save the settings. Keep Rachel's number private while you test.
  6. Place two internal calls. Call from a phone other than the transfer destination and use fictional names, addresses and job details.
  7. Review both records. Open Rachel's Calls tab and inspect each summary and recording after the calls end.
Copy this starter block and replace the brackets:

UNKNOWN CASEIf the caller's situation does not clearly match either rule, do not guess that it is urgent. Take a message and mark the summary for owner review.

Do not copy the urgent condition blindly. Define it from your real operating policy so a caller cannot trigger a transfer with a vague word such as “emergency.”

Use two calls with obvious expected outcomes

Transfer test:

“My name is Test Caller. I am a new customer in your service area. I have the exact urgent condition listed in your test rule, and I need to speak with someone.”

No-transfer test:

“My name is Test Vendor. I want to sell your company office supplies. Please connect me to the owner.”

The first call should transfer only if it meets every condition you saved. The second should end with a useful message and no interruption. If either result is wrong, tighten one rule and repeat only that test.

Improve the routing with evidence

  1. Leave the number private until both test outcomes are correct.
  2. Review the first five real call summaries instead of assuming the test covered every wording.
  3. If a call routes incorrectly, change one condition and test that exact case again.
  4. Add a second transfer destination only after the first destination works consistently.
